For COOs, CIOs and the leaders answerable for AI across the company
You gave everyone AI. Now give them a plan you control.
Habitcraft gives you one AI roadmap for the whole company. It starts with a scan of how work actually happens, so you know where to start. Then you design the better process, turn its steps into AI, and give every person their part with clear instructions. You see all of it.

The problem
You bought everyone an AI seat. Nobody gave them a direction.
Most companies signed up for a team plan and turned everyone loose.
- Nobody can see what AI is used forYou see every team's AI work, in one place
- The same job gets built three times, three waysBuilt once, used by every team
- The work worth the most hours goes untouchedEvery process ranked by hours AI could save
Who's behind it
Born from twenty years of changing how companies work.
Habitcraft comes from twenty years of leading digital transformations at hundreds of companies. Every one that worked started the same way: find out how the work really happens, decide what it should become, then make someone own each part. Habitcraft turns that method into one roadmap, built for the age of AI.
How it works
Five steps from a scan of how work happens to an AI plan you control.
Step 1 · Scan
Start with a scan of how work actually happens, not a guess.
You can't plan AI around work you can't see. Process documents show how work was designed. Calls and chats show how it really runs. Habitcraft reads those, alongside your tools, and ranks every area by the hours AI could take on. That tells you where to start.
How it's usually mapped
- Weeks of workshops and interviews
- People describe the process they think they follow
- A diagram that's out of date when it's finished
- The work between teams goes unmapped
A picture of the intended process, drawn once.
How Habitcraft scans it
- Nothing installed on anyone's computer. No screen recording.
- Every line on the map says where we heard it
- Our guesses are marked, until your team confirms them
The work as it runs, with its sources.
Source counts from a real first look, October 2026.
Then you know where to start.
It runs, and people still spend real time on it by hand. Start here.
It breaks, isn't really built, or has steps nobody owns. Put AI on it now and you get a faster mess.
It runs well. Leave it alone.
- Order to cash~140 hrs
- Customer onboarding~95 hrs
- Hiring and onboarding staff~60 hrs
- Month-end close~45 hrs
Hours are starting estimates to rank where to look first. Real minutes come from your teams.
Step 2 · See it
Before you change anything, see exactly how it happens today.
Pick an area and Habitcraft writes down how it runs now, step by step. What we saw is marked with its source. What we had to guess becomes a quick question for the person who knows. Nothing counts as fact until they confirm it.

There's no written onboarding checklist. The steps live in people's heads.

Step 3 · Design it
Then design the process it should be, with AI built in.
With the real process in front of you, decide what it should become: which steps AI takes on, which stay with a person, and which gaps finally get an owner. You approve the design. Nothing changes until you do.

Step 4 · Build it
Every step shows what it reads and writes. That's the brief AI needs.
Once a process is designed, Habitcraft shows the information each step uses and the information it produces: the invoice it checks, the customer record it updates, the email it sends. That turns a process map into a build list. Our team builds the big automations. Your own people can build AI for the rest from a clear brief, and what they build lands back on the map for everyone.
| Step | Invoice | Customer | Payment | Who | |
|---|---|---|---|---|---|
| Draft payment reminders | R | R | W | AI | |
| Match payments to invoices | W | R | AI | ||
| Chase overdue accounts | R | W | W | Sam + AI | |
| Flag disputed invoices | W | R | Ready to build |

Flag disputed invoices
- Uses
- The invoice and the customer's account
- Produces
- The invoice marked as disputed
- Approved by
- Dana, owner of Order to cash
- Built by
- Anyone on the team, or us
Once built, it sits on this step, and every team that flags disputes uses the same one.
Step 5 · Own it
Everyone sees the same map, at their level.
Every part of the business gets an owner, from the whole company down to a single step. Each owner sees exactly their slice: what's theirs, what AI does, and what to work on next. You see all of it, rolled up.

The 90-Day AI Roadmap
Your AI roadmap in 90 days, and a team that can build on it.
We scan how your whole company really works and hand you the map and a ranked AI roadmap. Then a small group of your people go deep on one workstream with us. We automate one process together as the lesson, and coach each person to build AI for their own part of the work.
- A map of your whole companyEvery area and process, as it really runs
- Your AI roadmapEvery process ranked by the hours AI could take on
- One workstream redesignedThe better process, with an owner for every step
- One process running on AIBuilt together, live in your own tools
- A team that builds its own AIEach person coached on their own part of the work
Wide first, then deep, then live.
-
Days 1–30
Map your company
We connect to your calls, chat and the systems you run on, and scan how work really happens. The people who own each area confirm what we found, a few quick questions at a time.
By day 30The full map of your company and a ranked AI roadmap. You pick the workstream to go deep on. -
Days 31–60
Go deep on one workstream
A small group of your people who own that work sit with us. Together we see exactly how it runs today, design the better version with AI built in, and give every step an owner and a clear brief of the information it uses and produces.
By day 60One workstream redesigned, every step owned. You choose the process to automate. -
Days 61–90
Automate, and teach
We lead the build of one process end to end with AI, in your own tools, with the pilot team alongside as the lesson. Then each person builds AI for their own steps, with us coaching them through it. We measure the hours won back against how the work ran before.
By day 90One process running on AI, and a team that can build the next ones. Ready to roll out to the next workstream.
Your part: three decisions, and a few people's time.
- Connect your toolsCalls, chat and the systems you run on. You decide what we read, agreed in writing. Nothing is installed on anyone's computer, and you can disconnect any source at any time.
- Lend us a small groupThe people who own the workstream you choose, from day 31 to day 90. They design it with us, then learn to build their own AI.
- Make three callsWhich workstream to go deep on, which process to automate, and sign off the design.
Which workstream do we go deep on?
Ranked from your roadmapHours are estimates
Included
- The scan and map of your whole company
- Your ranked AI roadmap
- One workstream, mapped and designed with your team
- One process fully automated in your own tools, built with your team
- Coaching for each person on the pilot team as they build their own AI
- Everything we build is yours, and always exportable
Not included
- Rolling out to more workstreams and processes. That's what comes next.
Day 91
The roadmap keeps rolling.
The first 90 days prove the way of working on one workstream. From there, Habitcraft carries it across the company.
The next workstream
Pick the next one from your roadmap and go deep, with your pilot team helping the next group learn.
A map that stays live
As work changes, the map and roadmap change with it, so the plan never goes stale.
Every team's AI in one place
What each person builds is kept beside the work it serves, so nobody builds it twice.
And if you ever decide to stop, everything we've built stays yours.
Your safety net
Built to keep going. Yours to keep, no matter what.
The first 90 days are the start of running your company on one AI roadmap. And nothing locks you in: the map, the roadmap and the workstream design are always exportable, and the automated process runs in your own tools, not in ours. Whatever you decide, everything we build is yours.
The usual AI engagement
- A strategy deck, then a long pause
- A pilot that only runs on the vendor's platform
- Value that leaves when the contract does
The 90-Day AI Roadmap
- A map and roadmap you own, exported
- One workstream redesigned, every step owned
- One process running on AI, in your own tools
- A pilot team that can build their own AI
Questions
What people ask before they start.
Data and security first, then the 90 days, then how Habitcraft works.
Is our data safe, and who controls what you read?
You do. We read only the sources you connect, agreed in writing up front, and you can disconnect any of them at any time. Before anything is connected, we take your security and legal teams through where the data is kept, who can see it and how long it stays.
Do we have to replace the AI tools our teams already use?
No. Your teams keep their AI subscriptions. Habitcraft is the map that says where to point them, and the place where the methods that work are kept for everyone.
Can you see what each person types into their AI?
No, and that isn't the point. Habitcraft maps the work and the AI methods that do it, not individual conversations with an assistant.
How do we start?
With the 90-Day AI Roadmap: $50,000, fixed, for the first 90 days. The first 30 days are your first look, the full map and roadmap. Then one workstream goes deep, and one process goes live while we coach your pilot team.
Why one workstream and one process?
So the 90 days stay 90 days. The map and roadmap cover your whole company, and going deep on one workstream proves the method on real work with your own people. Building one process together is the lesson. Then each person on the pilot team builds AI for their own work, with us coaching, so the skill stays when we leave.
Does the automated process need Habitcraft to keep running?
No. It's built in your own tools and keeps running if you stop using Habitcraft.
Who chooses the workstream and the process?
You do, from your roadmap. We recommend, using the hours each one could win back and how ready it is, but the call is yours.
How much time does it take from our people?
In the first 30 days, a few quick questions for the people who own each area. In the middle 30 days, a small group who own the chosen workstream. In the last 30 days, the same group, building their own AI with our coaching.
What if we decide not to carry on after day 90?
You keep everything: the map of your company, your AI roadmap, the full design of the chosen workstream with its owners and the brief for every step, and the automated process, running in your own tools. It's our safety net for you, not the plan. Most of the value comes from rolling the roadmap out further.
What exactly is a first look?
The map we hand you after reading your sources: every area of your business, the processes in each, where we heard about them, the hours a month AI could take on, and which processes are ready now, need clarifying first, or are fine as they are.
How do you estimate the hours?
For every step we map, we estimate how often it happens, how long it takes a person, and how much of it AI could take on. They're starting estimates to rank where to look first, not a promise of savings. Real minutes come from your teams.
Who builds the AI work?
We build it with you, starting with the processes marked ready. You decide which areas go first, and every piece lands on the map where everyone can use it.
What results should I expect?
A clear map of how your company runs, a ranked roadmap of where AI should go first, and one place where everyone's AI work lives. We don't promise a number of hours saved before we've looked.
What happens on the first call?
A short conversation about where AI is being used today, where the hours feel lost, and which tools you'd connect first. No preparation needed.
Give every team the same AI roadmap.
Start with a short call about your first 90 days: where you'd start, which workstream to go deep on, and what your team would build.
